Position Overview:

The Administrative Coordinator plays a crucial role in supporting various managers within the division by providing essential administrative assistance. This position requires strong organizational skills and the ability to manage multiple tasks effectively.

Key Responsibilities:
  • Demonstrate proficiency in various software applications to produce reports, business correspondence, and presentations accurately and promptly.
  • Assist in the preparation and management of vendor agreements, expense reports, and invoices as necessary.
  • Maintain an organized filing system for administrative documents and correspondence.
  • Perform photocopying and document filing as requested.
  • Coordinate and arrange meetings and luncheons, ensuring all logistics are handled efficiently.
  • Manage inventory and ordering of office supplies, reconciling invoices and allocating expenses appropriately.
  • Oversee the maintenance and servicing of office equipment.
  • Order stationery and business cards as needed.
  • Act as a liaison between office equipment vendors and the division for all equipment-related needs.
  • Complete additional tasks as assigned.
Qualifications:
  • A minimum of four (4) years of experience in administrative support.
  • High school diploma or GED is required.
  • A valid driver's license is necessary.
  • Strong organizational and analytical skills are essential.
  • Regular attendance and punctuality are required.
  • Ability to make informed decisions and exercise sound judgment.
  • Excellent verbal and written communication skills.
  • Basic proficiency in Microsoft Word and Excel; knowledge of PowerPoint is advantageous.
  • Typing speed of 50 words per minute.
  • Professional demeanor to represent the company positively.
  • Ability to follow directions from supervisors and collaborate effectively with colleagues.
  • Understanding and adherence to workplace rules and procedures.
  • Willingness to accept constructive feedback and work as part of a team.

Physical Requirements:

This position primarily involves sedentary office work, with occasional requirements to bend, stoop, reach, lift, and carry office supplies weighing up to 25 pounds. Proficiency in operating a computer, telephone, fax, and copying equipment is necessary.

Compensation Overview:

  • The median base compensation for this position is estimated to be $41.29/hour, subject to adjustments based on qualifications and operational considerations.
