Job Overview:

General Summary:
The role involves providing essential administrative assistance to the Police Department.

Support the Chief and Executive Assistant in enhancing the department's administrative efficiency while ensuring a well-organized and dependable work environment.


Key Responsibilities:
1. Prepare various documents, generate reports, and develop spreadsheets.
2. Manage police records, ensuring compliance with relevant policies and procedures.

3. Facilitate recruitment efforts by coordinating interviews, arranging parking, and scheduling necessary evaluations for candidates.

4. Anticipate departmental needs and proactively address challenges.
5. Perform additional tasks as required.

Special Responsibilities:
May be tasked with other duties as necessary.

May also be called upon to assist the agency or state government during emergency situations.


Essential Qualifications:

Required Knowledge, Skills, and Abilities:
1. Familiarity with current administrative practices.
2. Strong organizational skills with a proactive approach to task completion.
3. Excellent planning and time management abilities, ensuring deadlines are met.
4. Capability to work independently with meticulous attention to detail.
5. Professionalism, discretion, and sound judgment in performing duties.
6. Competence in handling sensitive matters while maintaining confidentiality.
7. Proficiency in MS Office Suite, including spreadsheet creation.
8. Strong verbal and written communication skills.
9. Ability to draft and respond to correspondence.
10. Capability to pass the Criminal Justice Information Services (CJIS) certification.
11. Effective oral, written, and interpersonal communication skills.
12. Skills in writing, editing, and proofreading.
13. Ability to successfully undergo a background investigation.

Minimum Experience:
1. Administrative experience in an office environment.
2. Experience in budget review.
3. Experience in report preparation through data collection and analysis in both physical and digital formats.
4. Customer service experience.
5. Must be able to pass a fingerprint-based criminal background check.

Preferred Experience:
1. Experience in a higher education setting.
2. Familiarity with the Commonwealth of Virginia procurement system (eVA).
