Job Overview

POSITION SUMMARY:

The Air Conditioning Contractors of America is in search of a meticulous and organized Partnerships and Sales Administrator to enhance our Marketing, Communications, and Partnerships division. This role, which is primarily remote, will be instrumental in supporting ACCA's Strategic Partner Program, associate member initiatives, and advertising sales efforts. The individual in this position will be responsible for gathering deliverables from partners and advertisers, playing a crucial role in fostering ACCA's non-dues revenue streams. The coordinator is vital in amplifying ACCA's influence within the HVAC sector and contributing to the betterment of contractors across the nation.

KEY RESPONSIBILITIES:

  • Provide comprehensive administrative assistance for ACCA's partnership initiatives, associate members, and advertising sales.
  • Facilitate the delivery of all partner benefits, which includes:
    • Collecting necessary partnership deliverables and issuing reminders for due materials
    • Generating and dispatching invoices for partners
    • Coordinating meetings with partners and potential clients
    • Organizing webinars and managing deliverables for partner-related webinars
    • Gathering advertising materials for partner obligations
    • Monitoring and reporting on performance metrics for partners
    • Tracking the usage of partner program benefits
  • Assist in the fulfillment of advertising sales, which includes:
    • Collecting advertising deliverables and sending reminders for due materials
    • Responding to advertising inquiries by providing a media kit with available options
    • Creating and sending invoices for advertising transactions
    • Monitoring and reporting on performance metrics for advertisers
  • Support the acquisition and retention of associate members:
    • Addressing inquiries from potential new associate members and providing information about member benefits
    • Enrolling new associate members
    • Assisting current associate members in utilizing their benefits
    • Supporting current associate members interested in advertising, sponsorship, or exhibiting opportunities
  • Regularly generate reports to monitor outstanding payments from advertisers, partners, and associate members.
  • Assist in the creation and dissemination of promotional materials and communications for advertising, partnerships, and associate members.
  • Provide support for all other administrative tasks related to partnership and advertising programs as necessary.
  • Stay informed about industry trends, updates, and partner news.

TRAVEL REQUIREMENTS: 10 percent

QUALIFICATIONS:

  • Education/Certification:
    • Bachelor's degree in Business, Marketing, Communications, or a related field.
  • Experience:
    • 2+ years of experience in administrative roles, partnership development, marketing, or sales, preferably in a non-profit or association context.
  • Technical Skills:
    • Experience with CRM software.
    • Familiarity with project management systems (Asana, Monday, Basecamp, etc.).
    • Proficiency in Microsoft Office Suite (Outlook, Teams, Excel, Word, etc.).
    • HubSpot experience is a plus.
  • Other Skills:
  • Strong organizational abilities and attention to detail.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proven capability to manage and prioritize tasks effectively under tight deadlines.
  • Ability to work independently and collaboratively in a fast-paced, remote environment.
