Job Overview:

General Summary:
The role involves providing comprehensive administrative assistance to the Police Department.

Work closely with the Chief and Executive Assistant to enhance the administrative efficiency of the department, ensuring a well-organized and dependable work environment.


Key Responsibilities:
1. Prepare and draft various documents, reports, and spreadsheets.
2. Manage police records, ensuring compliance with relevant policies and procedures.

3. Facilitate the recruitment process by coordinating interviews, arranging necessary logistics, and scheduling evaluations for candidates.

4. Anticipate departmental needs and proactively address challenges as they arise.
5. Perform additional tasks as assigned.

Special Responsibilities:
May be tasked with other duties as required.

Could be called upon to assist the agency or state government during emergency situations as declared by the Governor.


Essential Qualifications:

Required Knowledge, Skills, and Abilities:
1. Proficient understanding of administrative principles and practices.
2. Strong organizational skills with a proactive approach to completing tasks.
3. Excellent planning and time management abilities, ensuring deadlines are met.
4. Capability to work independently while maintaining attention to detail.
5. Professionalism, discretion, and sound judgment in performing duties.
6. Ability to manage sensitive matters with confidentiality.
7. Proficient in MS Office Suite, particularly in spreadsheet creation.
8. Strong verbal and written communication skills.
9. Competence in drafting and responding to correspondence.
10. Ability to successfully complete the Criminal Justice Information Services (CJIS) certification.
11. Effective oral, written, and interpersonal communication skills.
12. Skills in writing, editing, and proofreading.
13. Ability to pass a thorough background investigation.

Minimum Experience:
1. Administrative experience in a professional office environment.
2. Experience in budget review and management.
3. Proven ability to prepare reports through data collection and analysis in both physical and digital formats.
4. Customer service experience is essential.
5. Must successfully pass a fingerprint-based criminal background check.

Preferred Experience:
1. Experience in a higher education environment.
2. Familiarity with the Commonwealth of Virginia procurement system (eVA).
