POSITION SUMMARY:

The Air Conditioning Contractors of America is in search of a meticulous and organized Partnerships and Sales Administrator to become a vital part of our Marketing, Communications, and Partnerships division. This role, which operates in a remote-first environment, is essential for supporting ACCA's Strategic Partner Program, the associate member category, and advertising sales. The administrator will be primarily responsible for gathering deliverables from partners and advertisers, playing a crucial role in nurturing ACCA's non-dues revenue initiatives. This position is key to enhancing ACCA's influence within the HVAC industry and contributing to the betterment of contractors across the nation.

KEY RESPONSIBILITIES:

  • Provide comprehensive administrative assistance for ACCA's partnership initiatives, associate members, and advertising sales.
  • Facilitate the fulfillment of all partner benefits, which includes but is not limited to:
    • Gathering partnership deliverables and issuing reminders for due materials
    • Generating and dispatching invoices for partners
    • Coordinating meetings with partners and potential clients
    • Organizing webinars and managing deliverables for partner webinars
    • Collecting advertising materials for partner deliverables
    • Monitoring and reporting on performance metrics for partners
    • Tracking the utilization of partner program benefits
  • Assist in the fulfillment of advertising sales, which includes but is not limited to:
    • Collecting advertising deliverables and sending reminders for due materials
    • Responding to advertising inquiries by providing a media kit with advertising options
    • Creating and sending invoices for advertising sales
    • Monitoring and reporting on performance metrics for advertisers
  • Support the acquisition and retention of associate members:
    • Addressing inquiries from potential new associate members and providing information about member benefits
    • Enrolling new associate members
    • Assisting current associate members in utilizing their member benefits
    • Supporting current associate members interested in advertising, sponsorship, or exhibiting opportunities
  • Regularly generate reports to track outstanding payments pending from advertisers, partners, and associate members.
  • Assist in the creation and dissemination of promotional materials and communications for advertising, partnerships, and associate members.
  • Provide support for all other administrative tasks related to the partnership and advertising programs as necessary.
  • Stay informed about industry trends, updates, and partner news.

TRAVEL REQUIREMENTS: 10 percent

QUALIFICATIONS:

  • Education/certification requirements:
    • Bachelor's degree in Business, Marketing, Communications, or a related field.
  • Experience level:
    • 2+ years of experience in administrative roles, partnership development, marketing, or sales, preferably within a non-profit or association context.
  • Technical skills:
    • Experience with CRM software.
    • Familiarity with project management systems for tracking work (Asana, Monday, Basecamp, etc.).
    • Proficiency in Microsoft Office Suite (Outlook, Teams, Excel, Word, etc.).
    • HubSpot experience is a plus.
  • Other skills:
  • Exceptional organizational skills and attention to detail.
  • Strong interpersonal and communication skills, both written and verbal.
  • Demonstrated ability to manage and prioritize tasks effectively under tight deadlines.
  • Capability to work independently and collaboratively in a fast-paced, remote environment.
