Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant II to join our team at the Dallas Independent School District. This role will provide administrative support to the Assistant Chief of Police and assist with various departmental functions.

Key Responsibilities
  • Organize and manage departmental routine functions to meet objectives and serve as administrative assistant to the Assistant Chief of Police.
  • Provide work direction for support staff and perform administrative duties, including maintaining a filing system, processing routine correspondence, and typing documents.
  • Receive telephone calls, handle matters of a confidential nature, and maintain confidentiality of information contained in source documents.
  • Maintain daily attendance and payroll records as needed.
  • Prepare and process documents, including service agreements, contracts, travel forms, and payroll corrections.
  • Enter and process requisitions as needed and schedule meetings for the Assistant Chief.
  • Leave and Restrictive Duty Lists – weekly updates, facilitate personnel departures, and work with the Personnel Unit to prepare and schedule promotional ceremonies and exams.
  • Files, Off-Duty Requests, Support Services Time Off Requests, and Vehicle tag information, as well as billing of department services.
Requirements
  • Demonstrated proficiency in computer skills with software applications, Microsoft Windows, Microsoft Office Professional, Oracle, and other database systems.
  • Ability to successfully complete assignments with limited supervision and demonstrated task-oriented self-starter skills.
  • Demonstrated strong skills in record keeping and highly detailed-oriented, with excellent organizational, communication, customer service, and interpersonal skills.
  • Demonstrated ability to meet established deadlines and remain focused in an environment of frequent distractions.
  • Demonstrated ability to communicate and interact effectively with a wide variety of district personnel and the public.
  • Demonstrated planning and problem-solving/investigative skills as required to research inquiries.
  • Must possess ability to coordinate multiple projects and assignments; high degree of flexibility required.
  • Knowledgeable of District organization, operations, and administrative policies.
  • Bilingual preferred but not required.
