Role Summary:

The Part-time Event Planning Specialist will play a crucial role in facilitating onsite meetings and events, ensuring alignment with the client's vision and core values.

The ideal candidate will exhibit a warm and imaginative demeanor, complemented by strong business insight and technological proficiency.

This role encompasses various event planning responsibilities, including:

  • Supporting the reservation process and providing outstanding customer service.
  • Participating in client and team meetings, offering backup support as necessary.
  • Acting as a key informational resource for clients, facility teams, and onsite services.
  • Maintaining supplies in designated meeting areas.
  • Delivering exceptional service to clients and meeting participants.
  • Gathering logistical details to assist clients with their meeting and event requirements.
  • Providing day-of support tailored to the specific needs of meetings and events.
  • Coordinating with A/V teams to address client needs and troubleshoot issues.
  • Collaborating with Plant Engineering for meeting/event setups and providing room diagrams as needed.
  • Managing last-minute requests and ensuring quick turnaround times between events.
  • Maintaining accurate reporting in Excel for meetings and various data.

Qualifications:
Minimum of 3-5 years of experience in meeting and event coordination, particularly with onsite support. Previous experience in concierge or VIP services is advantageous. The ability to juggle multiple priorities and achieve results in a dynamic, matrixed environment is essential. A strong commitment to customer service and a passion for hospitality are key.

Essential Skills:
Proficient in business communication, event logistics, independent thinking, and professional etiquette. Excellent verbal and written communication skills are necessary, along with proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Visio, Outlook).

Work Environment:
This position requires onsite presence.
