Venue Event Coordinator

The Event Operations Supervisor plays a crucial role in overseeing a diverse array of events orchestrated by the event management team. This includes, but is not limited to, conventions, trade shows, and various ceremonies.
Key Responsibilities- Act as the primary contact for clients during events in the absence of the Event Manager.
- Oversee event execution and operations to align with client expectations.
- Collaborate with operational and support teams to finalize event specifics.
- Ensure all necessary items for events are prepared, including signage and room arrangements.
- Maintain the readiness of common areas to guarantee an exceptional experience for all attendees.
- Supervise the setup of rooms and occasionally assist in moving furniture and equipment.
- Support the Event Management team with scheduling and various administrative tasks.
- Promote the effective utilization of the venue facilities.
- Complete additional tasks as assigned by senior management.
Manage the entire exhibitor ordering process, which encompasses pre-event, event day, and post-event activities related to ordering and payment reconciliation.
- Serve as the point of contact for exhibitors regarding venue service inquiries.
- Oversee the exhibitor services website to ensure it is user-friendly for both exhibitors and staff.
- Perform other assigned duties as necessary.
Minimum of one year in a related event position, ideally within a meetings or hospitality environment.
Knowledge & Skills- Understanding of facility management and event planning fundamentals.
- Familiarity with technical production equipment.
- Experience in guest service practices for large groups.
- Able to work collaboratively in a team with diverse personalities and skill sets.
- Basic computer proficiency and experience with Microsoft Office is preferred.
- Effective communication skills with the ability to manage challenging situations under pressure.
- Detail-oriented with a strong commitment to customer service.
- Ability to plan, organize, and supervise personnel effectively.
- Skilled in diagnosing and resolving various issues.
- Capable of analyzing and aligning facility capabilities with client requirements.
- Adept at handling multiple projects simultaneously.
- Demonstrated strong work ethic and a willingness to support team members.
This position typically requires a second shift schedule, with flexibility to work evenings and weekends as needed. The role demands the ability to thrive in a fast-paced event environment and adapt to last-minute changes.
Physical requirements include the ability to stand for extended periods, perform light lifting, and transport items weighing up to 50 pounds.
