Job Overview

The HR Administrative Coordinator plays a crucial role in delivering administrative assistance across various sectors of the Human Resources Department. This position serves as a support system for all employees, addressing employee relations while executing assigned administrative tasks. The HR Coordinator is also responsible for ensuring that all staff and volunteers meet the necessary training requirements upon hiring and on an annual basis.

Key Responsibilities
  • Training Coordination: Organize, manage, and monitor mandatory employee training sessions, including onboarding and annual training, ensuring completion within stipulated timeframes.
  • Certification Training: Act as a certified trainer for First Aid/CPR, facilitating training sessions for both new hires and existing staff.
  • Medication Administration Classes: Schedule and coordinate training for new hires and recertification in collaboration with relevant departments.
  • HRIS Management: Input completed training renewals into HRIS and training systems for effective tracking.
  • Learning System Maintenance: Oversee the online learning platform (Relias), ensuring compliance with training mandates and maintaining up-to-date records of completion.
  • Background Checks: Coordinate drug screenings and reference checks for applicants, volunteers, and employees as necessary.
  • Orientation Facilitation: Conduct new hire orientations, serving as the primary contact for newcomers and providing training on essential systems.
  • Record Management: Enter new hires into the HRIS and update employee records as required.
  • Confidentiality Maintenance: Manage confidential personnel files and ensure compliance with audit requirements.
  • Audit Support: Assist with personnel and payroll audits as needed.
  • HR Inquiries: Address all internal and external HR-related inquiries or requests.
  • Reporting: Generate and submit reports on general HR activities as requested.
  • Trend Awareness: Stay informed about the latest HR trends and best practices.
  • Regulatory Compliance: Maintain and update necessary regulatory postings.
  • Additional Duties: Perform other responsibilities as assigned by the Chief Compliance and HR Officer.
Qualifications

Education:

  • A.A. degree in human resources, business, or social services, or an equivalent combination of education and relevant experience.

Experience:

  • A minimum of 1 year of experience in human resources or training is required.

Licenses/Certifications:

  • Valid driver's license.
  • Valid automobile insurance.

Competencies:

  • Proven ability to execute tasks with a high degree of accuracy.
  • Detail-oriented with strong organizational skills.
  • Proficient in desktop software, including MS Word, Excel, PowerPoint, and databases.
  • Excellent written and verbal communication abilities.
  • Capability to work independently with minimal supervision.
  • Strong judgment and confidentiality maintenance skills.
  • Experience with HRIS systems, preferably Paylocity.
