POSITION SUMMARY: The Legal Department of the Tribe offers a comprehensive range of services to support the Tribal government, its initiatives, and economic ventures. This role is designed to provide administrative and executive assistance to the Tribe's Attorneys and support personnel in areas such as client intakes, legal documentation, file management, case oversight, research, and general administrative tasks.

KEY RESPONSIBILITIES:
  • Answer and appropriately direct all incoming calls.
  • Assist Tribal Members in accessing legal services.
  • Regularly maintain and update both electronic and physical files.
  • Monitor statute of limitations and assist in audit processes.
  • Schedule meetings and take minutes as required.
  • Order and manage office supplies efficiently.
  • Oversee office equipment maintenance.
  • Support budgetary functions.
  • Handle mail and delivery requests.
  • Organize archived files and documents.
  • Manage subscriptions for legal resources and educational programs.
  • Maintain calendars and oversee administrative duties.
  • Draft and review legal documents as necessary.
  • Coordinate travel arrangements for staff.
  • Track schedules and timesheets accurately.
  • Assist with special projects as assigned.
  • Support the protection and management of Tribal assets.
  • Collaborate with the IT Department for website management.
  • Organize workspaces and assist in service delivery.
  • Conduct initial intake of legal matters.
  • Uphold confidentiality and demonstrate excellent communication skills.
  • Observe and suggest improvements to office workflow.
  • Adhere to established policies and procedures.
  • Exhibit proficiency in various software applications.
  • Manage projects effectively and meet deadlines.
  • Perform clerical and administrative tasks as needed.
  • Utilize proper formatting in all correspondence.
  • Possess familiarity with Tribal, Federal, and State laws.
  • Comply with all privacy laws and regulations.
  • May require travel and work outside standard business hours.
  • Maintain a reliable attendance record.
  • Other duties as assigned.
QUALIFICATIONS:

Consideration may be given to a combination of education, experience, or training.

  • A Bachelor's degree, Paralegal or Legal Secretary certification, or a related field, along with a minimum of four (4) years of relevant experience.
EXPERIENCE:
  • Experience in legal administration with organizational and managerial responsibilities.
  • Knowledge of pleading and filing requirements for courts or experience in interpreting court rules.
SKILLS:
  • Strong communication abilities.
  • Commitment to maintaining high ethical standards.
  • Proficient in computer applications, including MS Office, with a strong typing speed.
  • Excellent organizational and time management skills.
PHYSICAL DEMANDS:
  • Primarily sedentary work involving constant computer use and occasional lifting.
  • Local and some international travel may be necessary.
WORK ENVIRONMENT:

This position is predominantly office-based.
