POSITION SUMMARY: The Legal Department of the Tribe offers a diverse range of services to the Tribal government, its programs, and economic ventures. This role provides essential administrative and executive assistance to the Tribe's Attorneys and support personnel, focusing on intakes, legal evaluations, file preparation, case management, research, and general administrative tasks.

KEY RESPONSIBILITIES:
  • Answer and appropriately direct all incoming calls.
  • Assist Tribal Members with referrals to legal resources.
  • Regularly maintain and update both electronic and physical files.
  • Monitor statute of limitations and assist with audit processes.
  • Schedule meetings and take minutes during those meetings.
  • Order and manage office supplies.
  • Oversee office equipment maintenance.
  • Support budgetary tasks.
  • Process incoming mail and delivery requests.
  • Manage archived files and documentation.
  • Maintain subscriptions for legal resources and educational programs.
  • Coordinate calendars and administrative responsibilities.
  • Draft and review legal documents.
  • Organize travel arrangements.
  • Track schedules and timesheets.
  • Assist with special projects as needed.
  • Help safeguard Tribal assets.
  • Collaborate with the IT Department for the department's website management.
  • Organize workspaces and assist in service delivery.
  • Conduct initial intake of legal matters.
  • Uphold confidentiality and demonstrate excellent communication skills.
  • Identify opportunities for workflow improvements.
  • Adhere to all policies and procedures.
  • Exhibit proficiency in various software applications.
  • Manage projects effectively and meet deadlines.
  • Perform clerical and administrative tasks.
  • Utilize proper formatting in all correspondence.
  • Demonstrate familiarity with Tribal, Federal, and State laws.
  • Comply with all privacy laws and regulations.
  • May require travel and work outside standard business hours.
  • Maintain a reliable attendance record.
  • Other duties as assigned.
QUALIFICATIONS:

Consideration may be given to a combination of education, experience, or training.

  • A Bachelor's degree, Paralegal or Legal Secretary certification, or a related field, along with a minimum of four (4) years of relevant experience.
EXPERIENCE:
  • Experience in legal administration with organizational and managerial duties.
  • Knowledge of pleading and filing requirements for courts or experience interpreting court regulations.
SKILLS:
  • Strong communication abilities.
  • Capacity to uphold high ethical standards.
  • Proficient in computer applications, including MS Office, with a strong typing speed.
  • Excellent organizational and time management skills.
PHYSICAL DEMANDS:
  • Primarily sedentary work involving extensive computer use and occasional lifting.
  • Local and some international travel may be necessary.
WORK ENVIRONMENT:

This position is predominantly office-based.
