KEY RESPONSIBILITIES
  • Oversees non-clinical staff including medical receptionists and health unit coordinators, focusing on:
    • enhancing and executing the onboarding process for new hires,
    • prioritizing tasks effectively,
    • managing daily and overall staffing schedules,
    • addressing staff concerns,
    • mentoring and guiding team members, including initiating Performance Improvement plans,
    • supporting the professional growth of team members,
    • ensuring sufficient staffing levels,
    • organizing and leading regular team meetings.
  • Promotes a culture of ongoing improvement
  • Encourages collaboration and support across departments
  • Works with the Practice Manager to assess workloads and identify staffing requirements
  • Serves as an IT Super User to assist with initial troubleshooting of system issues and training on EMR for administrative processes
  • Provides backup for medical receptionist and health unit coordinator roles as necessary
  • Handles non-clinical patient complaints with professionalism
  • Demonstrates the ability to prioritize team tasks and make independent decisions aligned with administrative goals
  • Maintains standard operating procedures for all administrative functions
  • Prepares and manages patient communications to support practice operations
  • Acts as a liaison to business office/shared services departments, including credentialing, billing, and health information management
  • Prepares documentation related to credentialing processes
  • Initiates IT/Facilities support tickets and monitors progress until resolution.
  • Assists with additional projects assigned by the Practice Manager and/or Department Chief.
QUALIFICATIONS
  • Associate's degree required; Bachelor's degree preferred.
  • Preferred experience in supervision
  • Experience in a medical office setting is advantageous
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, and PowerPoint) is essential, along with the ability to quickly learn and understand electronic medical records systems
  • Strong professional judgment and decision-making capabilities
  • Excellent verbal and written communication skills
  • Ability to cultivate a collaborative team environment
  • Strong organizational and planning skills
  • Ability to manage sensitive information with discretion
  • Capable of making decisions based on sound reasoning
