Key Responsibilities

The Administrative Operations Specialist will handle various administrative and clerical duties within our center, reporting directly to the Chief Financial Officer. The primary responsibilities include:

  • Managing insurance documentation and prior authorizations, ensuring accuracy in collaboration with the Medical Director and Director of Nursing.
  • Assisting in the auditing of nursing notes and medication administration records under the supervision of the Director of Nursing.
  • Coordinating transportation schedules and facilitating communication between the internal team and families.
  • Ensuring compliance with regulations and supporting adherence to necessary processes.
  • Providing assistance to the CFO with billing and financial reporting as required.
  • Supporting special projects as directed by the CFO and Administrator.
  • Overseeing the credentialing and licensing of team members, including managing updates and documentation collection.
  • Maintaining precise record-keeping and filing systems with a strong emphasis on confidentiality.
  • Staying informed about medical terminology, coding, and relevant technologies.
  • Engaging professionally through various communication methods, including phone, in-person, and email interactions.
Qualifications

Essential Skills:

  • Experience in an administrative role within a medical office environment.
  • Prior exposure to pediatric care settings is highly desirable.
  • A high degree of compassion and empathy to support patients and their families.
  • Familiarity with medical terminology, compliance, and technology.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent interpersonal and communication abilities.
  • Basic accounting and mathematical proficiency.

Preferred Qualifications:

  • A bachelor's degree or higher is advantageous.
