We are seeking an Administrative Operations Specialist who is passionate about working with children and shares our commitment to excellence in care. This role is vital in maintaining our operational efficiency and supporting our dedicated team.
Key ResponsibilitiesThe Administrative Operations Specialist will handle a variety of administrative and clerical functions, reporting directly to the Chief Financial Officer. Key responsibilities include:
- Managing insurance documentation and prior authorizations, ensuring accuracy through collaboration with the Medical Director and Director of Nursing.
- Assisting in the auditing of nursing documentation and medication administration records under the supervision of the Director of Nursing.
- Coordinating transportation logistics and maintaining communication with families and internal staff.
- Ensuring compliance with regulations and supporting adherence to operational processes.
- Providing assistance to the CFO with billing tasks and financial reporting as required.
- Supporting special projects initiated by the CFO and Administrator.
- Overseeing the credentialing and licensing of team members, including tracking updates and expiration dates.
- Maintaining meticulous records and filing systems with a strong emphasis on confidentiality.
- Staying informed about medical terminology, coding practices, and relevant technology.
- Engaging professionally through various communication channels, including phone, in-person, and email interactions.
Essential Qualifications:
- Experience in an administrative role within a medical office environment.
- Prior exposure to pediatric care settings is highly desirable.
- A compassionate and empathetic approach to supporting patients and their families.
- Familiarity with medical terminology, compliance standards, and healthcare technology.
- Strong organizational skills and a keen attention to detail.
- Excellent interpersonal and communication abilities.
- Basic accounting and numerical proficiency.
