Our portfolio encompasses over 16.5 million square feet across seven major life sciences markets in the US, with recent growth into London and Cambridge.

As we actively fundraise for LSVF II and develop new life sciences opportunities for our institutional investors, we seek a collaborative and entrepreneurial individual to join our team. Position Overview:

We are in search of a dedicated team member to support Elevate, Longfellow's tenant engagement platform, specifically for our Redwood City, Palo Alto, and San Mateo campuses. This role is crucial to the life science community, as Elevate serves as the core of tenant engagement on campus. We are looking for an enthusiastic, people-oriented event planner and tenant communicator who can creatively activate our amenity spaces in ways that enhance tenant engagement and support growth objectives.

The ideal candidate for the Tenant Experience Administrator position should possess a genuine passion for event planning and the organizational skills necessary to execute successful initiatives. They must be adept at fostering strong partnerships with internal and external stakeholders, including fitness managers, third-party vendors, and restaurant management, to create programming that resonates with our tenants and aligns with Elevate's strategic goals. Attention to detail and accuracy in budgeting and cost management are essential, as this role collaborates closely with our property management team and oversees a day-porter responsible for maintaining amenity spaces.

Key Responsibilities:

  • Oversee a comprehensive tenant relations program and event calendar;
  • Coordinate scheduling for on-site vendors, catering, services, and events;
  • Build and maintain strong relationships with tenants and vendors;
  • Manage bookings for private events and amenity spaces, ensuring adherence to established processes;
  • Assist with marketing efforts on social media;
  • Perform administrative tasks to support Elevate Bay Area;
  • Welcome guests and facilitate impromptu tours of the Elevate space;
  • Maintain budgets and track expenses for tenant events and amenity programs;
  • Process and submit vendor invoices for payment;
  • Update event schedules and tenant communications via the Elevate by Longfellow app and monthly newsletters;
  • Request marketing materials, post signage, and collaborate with marketing to create engaging content;
  • Propose new concepts and ideas for creative projects utilizing amenity spaces;
  • Assist with various ad hoc projects as needed.

Qualifications:

  • Bachelor's Degree preferred;
  • Experience in event planning and vendor coordination;
  • Strong oral and written communication skills;
  • Proficiency in Microsoft Office;
  • Ability to manage multiple tasks with excellent organizational skills;
  • Detail-oriented with a strong work ethic;
  • Basic understanding of payables and receivables;
  • Ability to establish successful relationships with third-party vendors;
  • Proven track record of delivering high-quality customer service;
  • Experience collaborating across departments and with diverse stakeholders;
  • Friendly and approachable demeanor with a positive attitude.
