Position Overview

The Patient Registration Specialist embodies a friendly, supportive, and professional demeanor towards patients, healthcare providers, visitors, colleagues, and all other stakeholders associated with the healthcare facility. This role involves conducting patient interviews in a respectful manner to gather essential personal, medical, and financial details required for admissions and accurate billing for services provided.

Key Responsibilities

  • Welcomes and interviews patients with empathy and professionalism.
  • Collects and inputs comprehensive and precise patient demographic, guarantor, and insurance details.
  • Ensures all necessary forms are completed with required signatures, authorizations, and consents.
  • Reviews and verifies patient insurance information, assigning the correct insurance payer plan codes, including policy, group, and authorization numbers to facilitate accurate billing.
  • Determines appropriate patient types and bed assignments based on the registration category (e.g., Emergency Room, Inpatient Admissions, Observations, Outpatient Surgery, Laboratory, Radiology, etc.). Collaborates with medical staff to ensure correct patient placement and rectifies any account discrepancies prior to billing.
  • Documents the ordering, attending, referring, and primary care physicians accurately in the hospital's information system during patient registration.
  • Maintains confidentiality of all patient data while being attentive to individual patient needs and monitoring wait times for registration.
  • Ensures a smooth and efficient patient flow throughout the registration process.
  • Adheres to all departmental and institutional policies and procedures.
  • Complies with local, state, and federal regulations, as well as the standards set by accrediting organizations.
  • Performs additional duties as assigned, including representing the department to management and responding to inquiries as needed.
  • Participates in departmental and institutional meetings, training sessions, and quality improvement initiatives.
  • Contributes to the achievement of departmental and institutional goals.
  • Projects a positive and professional image of the Patient Registration team and the healthcare facility at all times.
  • Maintains a tidy and organized workspace.

Qualifications

  • High School Diploma or equivalent is required.
  • Proficient in computer skills, with a typing speed of at least 30 words per minute and 95% accuracy.
  • Strong communication skills are essential.
  • Preferred: At least one year of experience in a registration role.
