Position Summary:

The Patient Access Specialist plays a crucial role in ensuring a seamless patient experience by effectively managing front desk operations. This position requires a thorough understanding of responsibilities within the healthcare setting and operates under the guidance of management. The specialist interacts respectfully with all staff levels, providing support during operational hours, engaging in departmental initiatives, and promoting patient independence while adhering to attendance policies. This role is vital in advocating for patient quality of life while ensuring compliance with relevant laws and organizational standards, in alignment with the core values of Family Allergy & Asthma.


Key Responsibilities:
  • Facilitate patient check-in and check-out processes.
  • Manage insurance documentation, including copying and scanning cards.
  • Capture patient photographs as required.
  • Collect co-payments and deductibles efficiently.
  • Post payments accurately to patient accounts.
  • Encourage the use of patient portals for enhanced communication.
  • Ensure all necessary consent forms are completed and signed.
  • Balance daily collections and prepare deposits accurately.
  • Handle incoming calls professionally and schedule appointments for both new and existing patients.
  • Input patient demographics, insurance details, and referral information into the management system.
  • Prepare the front desk for clinic operations, confirming benefits for testing patients and organizing necessary paperwork.
  • Scan relevant documents and manage appointment cancellations and rescheduling.
  • Oversee medical records requests and ensure timely responses to inquiries.
  • Process purchases related to Allergy Zone as needed.
  • Manage assigned front office tasks, including reminders, cancellations, and follow-ups.
  • Adhere to HIPAA regulations and maintain patient confidentiality.
  • Travel to satellite clinics as required.
  • Perform additional duties as assigned.

Qualifications:
  • High school diploma or GED is mandatory.
  • Previous experience in a medical office setting is preferred.
  • Proficient computer skills are essential.
  • Must demonstrate quick learning abilities, organizational skills, and a team-oriented mindset.
  • Excellent communication and customer service skills are required.
  • A valid Driver's License is necessary.
  • Must pass background checks and screenings as mandated.
  • Ability to travel to various locations as needed.
  • Must be at least 18 years old.
  • Capable of interacting positively with patients.
  • Ability to work independently and manage tasks effectively.
