Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Ultimate Staffing. As an Administrative Assistant, you will provide critical support to our senior staff, ensuring the smooth operation of our office.

Key Responsibilities
  • Administrative Support: Provide administrative support to ensure efficient office operations, including maintaining physical and digital filing systems, and coordinating logistics for meetings.
  • Communication and Correspondence: Respond to emails and other digital queries and correspondence, and draft and edit letters, reports, and other documents.
  • Calendar Management: Manage calendars for senior staff, including making travel arrangements and scheduling appointments.
  • Database Management: Input and update information in databases and spreadsheets.
  • Meeting Coordination: Prepare meeting agendas and take meeting minutes, and coordinate logistics for meetings, including room setup and catering.
  • Office Operations: Operate and maintain office equipment, including printers, copiers, and fax machines, and work with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
  • Research and Reporting: Research as requested and compile and summarize information for reports or presentations.
  • Team Collaboration: Work closely with other administrative staff and support other colleagues as needed.
  • Confidentiality and Security: Work with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Adaptability and Flexibility: Ensure that deadlines are met and adapt to changing priorities, and present a positive and professional image for the organization.
