Role Overview

We are in search of an administrative professional to provide dedicated support to our CEO. The ideal candidate will possess strong problem-solving abilities, exceptional communication skills, and a keen eye for detail. Experience in an office setting, performing administrative duties, and assisting colleagues is essential. The ability to juggle multiple tasks, manage intricate schedules, and adapt to shifting priorities is crucial for success in this role.

Key Responsibilities

  • Provide primary support to the CEO and additional assistance to other executive team members as needed.
  • Facilitate communication with staff by coordinating with internal and external executives on various initiatives.
  • Act as a central point of contact within the office, offering information, addressing inquiries, and responding to requests.
  • Ensure efficient use of office resources, including equipment and supplies, through proactive maintenance.
  • Coordinate both internal and external resources to streamline workflows.
  • Support the achievement of organizational objectives while adhering to best practices.

Specific Duties

  • Oversee the CEO's professional and personal scheduling, including managing agendas, correspondence, and logistical arrangements.
  • Coordinate complex calendar management and the flow of information to senior executives.
  • Handle travel arrangements for the CEO, including accommodations and transportation.
  • Provide comprehensive administrative and office support.
  • Maintain a high level of professionalism and confidentiality with all materials.
  • Organize team communications and coordinate events, both on-site and off-site.
  • Assist senior leaders with administrative tasks, including email management.
  • Plan and schedule company meetings, whether in-person or via videoconference.
  • Manage office supplies and food orders for group gatherings.
  • Respond promptly and professionally to a high volume of correspondence.
  • Draft communications, take meeting notes, and follow up on action items.

Required Qualifications

  • Minimum of 1 year of experience in an administrative capacity supporting upper management.
  • High school diploma or equivalent.
  • Exceptional written and verbal communication skills.
  • Strong organizational and time-management abilities, with a knack for coordinating multiple projects simultaneously.
  • Proficiency in office productivity software and a willingness to learn new systems.
  • A flexible team player who embraces change and challenges.
  • Ability to maintain confidentiality regarding company and employee information.
  • Outstanding communication skills, both written and verbal.
  • Strong multitasking capabilities.
  • Proficiency in MS Office, Slack, and Google Workspace.
  • Assist with personal errands for the CEO.
  • Uphold professionalism and confidentiality at all times.

Preferred Qualifications

  • College degree or equivalent experience.
  • Proven success in office management roles.

Compensation = $20/hour
