Job Summary:

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at BioPhase. As an Administrative Coordinator, you will provide administrative support to our leadership and general office support.

Key Responsibilities:

  • Front Desk Operations: Greet visitors, accept deliveries, and manage the reception area.
  • Calendar Management: Assist with scheduling meetings and events, and coordinate logistics for meetings and events as assigned.
  • Expense Reporting and Procurement: Process expense reports, purchase orders, and manage credit charges for the office and executives.
  • Document Creation and Editing: Create and edit documents, correspondence, and agreements using company-approved templates.
  • Support and Coverage: Provide support and coverage for the Executive Assistant in the Los Angeles corporate office as needed.
  • Supply Management: Manage and order office and kitchen supplies, maintain supplies, and manage in- and outgoing mail and packages.
  • Shipping and Receiving: Ship, receive, and distribute delivered mail and packages.
  • Record Management: Coordinate with HR to distribute employee promotional items and interface with the property landlord and Facilities and IT staff as needed.
  • Office Setup and Maintenance: Set up desks and offices for new employees, issue office keys, and facilitate office and/or cubicle moves.
  • Onboarding and Offboarding: Assist with onboarding and offboarding tasks as needed.

Requirements:

  • A high school diploma and a minimum of 2 years of related experience.
  • Proficiency with Adobe and MS Office, including Outlook, Excel, Word, PowerPoint, and Teams.
  • Experience working in a biotech environment is preferred but not required.
  • Strong client focus and dedication to meeting the expectations and requirements of internal customers.
