Role Overview:

Key Responsibilities:

  • Calendar Management: Efficiently manage intricate calendars, facilitating meeting arrangements and travel logistics for the VPs.
  • Communication Liaison: Act as the primary point of contact for both internal and external stakeholders, adeptly screening and directing inquiries.
  • Meeting Coordination: Assist in the preparation of agendas and oversee the logistical arrangements for quarterly team gatherings, whether in-person or virtual.
  • Travel Management: Organize domestic and international travel plans, including itineraries, accommodations, and necessary logistics.
  • Expense Processing: Handle expense reports, ensuring adherence to company policies and procedures.
  • Collaborative Team Support: Work closely with the Chief of Staff and other administrative personnel to provide seamless support across various departments.
  • Ad Hoc Responsibilities: Undertake additional tasks and responsibilities as delegated by the Vice Presidents.

Qualifications:

  • Minimum of 5 years of experience supporting executives at the VP level.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Zoom, and Concur.
  • Exceptional organizational skills with a strong ability to prioritize tasks effectively.
  • Outstanding verbal and written communication abilities.
  • High level of discretion and confidentiality in managing sensitive information.
  • Proactive mindset with the capability to anticipate needs and propose solutions.
  • Adaptability to changing priorities and business requirements.
  • Positive attitude and strong interpersonal skills.

Additional Information:

This role requires a candidate who is based in the Pacific Time Zone. The position is primarily remote, with occasional travel required for specific events. The opportunity for contract extension or conversion to a full-time role may be available based on future organizational needs.
