Role Overview:

Cypress HCM is in search of a detail-oriented and skilled Executive Administrative Coordinator to provide comprehensive support to two Vice Presidents. This role is primarily remote, accommodating candidates located in Northern or Central California, with occasional travel required for specific meetings and events.

Key Responsibilities:

  • Calendar Oversight: Manage intricate calendars, coordinating meetings and travel arrangements for two VPs.
  • Communication Liaison: Act as the primary point of contact for both internal and external stakeholders, effectively screening and directing inquiries.
  • Meeting Logistics: Assist in preparing agendas and organizing logistics for quarterly team offsite events, whether in-person or virtual.
  • Travel Management: Coordinate domestic and international travel plans, including itineraries, accommodations, and logistics.
  • Expense Reporting: Process expense reports while ensuring adherence to company policies.
  • Collaborative Support: Work closely with the Chief of Staff and Executive Assistant to ensure cohesive support across the organization.
  • Additional Responsibilities: Undertake various tasks and responsibilities as assigned by the two VPs.

Qualifications:

  • Minimum of 5 years of proven experience as an assistant supporting executives at the VP level.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Zoom, and Concur.
  • Exceptional organizational skills with the ability to prioritize tasks effectively and meet deadlines.
  • Outstanding verbal and written communication abilities.
  • Demonstrated discretion and confidentiality in managing sensitive information.
  • Capacity to anticipate needs, think critically, and propose solutions to challenges.
  • Flexibility and adaptability to evolving priorities and business requirements.
  • A positive and approachable demeanor.

Additional Notes:

This position is primarily remote, with the potential for travel to specific locations as required by the VPs. Candidates must be available to work in the Pacific Time Zone. The role may offer opportunities for contract extension or conversion to a full-time position, contingent upon future financial planning.
