Position: Executive Administrative Coordinator

Role Overview:

Cypress HCM is in search of a detail-oriented and skilled Executive Administrative Coordinator to provide comprehensive support to two Vice Presidents – VP of Global Sourcing and VP of Global Workplace Services and Real Estate. This position is primarily remote, though occasional travel may be required for specific engagements.

Key Responsibilities:

  • Calendar Oversight: Manage intricate calendars, organize meetings, and facilitate travel arrangements for the two VPs.
  • Communication Liaison: Act as the primary point of contact for both internal and external stakeholders, effectively screening and directing inquiries.
  • Meeting Facilitation: Assist in preparing agendas and coordinating logistics for quarterly team offsite events, whether in-person or virtual.
  • Travel Management: Organize domestic and international travel itineraries, accommodations, and related logistics.
  • Expense Reporting: Handle expense report processing while ensuring adherence to company policies.
  • Collaborative Support: Work alongside the Chief of Staff and the Executive Assistant to the Chief Procurement Officer to ensure cohesive support across the organization.
  • Additional Responsibilities: Undertake various tasks and duties as assigned by the two VPs.

Qualifications:

  • Minimum of 5 years of proven experience as an assistant to VP-level executives.
  • Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Zoom, and Concur.
  • Exceptional organizational skills with the ability to prioritize tasks effectively and meet deadlines.
  • Outstanding verbal and written communication abilities.
  • High level of discretion and confidentiality in managing sensitive information.
  • Proactive in anticipating needs, employing critical thinking, and providing solutions to challenges.
  • Adaptable to shifting priorities and business requirements.
  • Positive demeanor and a collaborative spirit.

Additional Information:

  • This role is primarily remote, based in Northern or Central California, with potential travel to the San Diego office for specific events.
  • Must be available to work in the Pacific Time Zone.
  • Possibility of contract extension or conversion to full-time employment based on future financial planning.
  • Windows operating system is preferred for this position.
