Job Overview

Position Summary: The Governance and Human Resources Officer is tasked with the oversight of the formulation, execution, and upkeep of governance, risk, and compliance protocols for Muslim Hands USA. This role also encompasses the management of human resources operations to ensure effective and compliant practices. The individual in this position will be crucial in ensuring the organization meets statutory obligations, promotes a culture of excellence, and enhances employee engagement and growth.


Key Responsibilities:
Governance:
  • Design, implement, communicate, and sustain governance, risk, and compliance protocols.
  • Guarantee adherence to statutory governance mandates by improving organizational awareness, maintaining precise documentation, and delivering policy training for personnel and board members.
  • Oversee the arrangement of board meetings, including agenda preparation, documentation distribution, accurate minute-taking, and action plan tracking.
  • Maintain and refresh board member records, including declarations of interest and register updates, and manage board member registrations and removals with regulatory bodies.
  • Conduct due diligence assessments for new partners and donors, ensuring documentation accuracy and compliance with IRS standards.
  • Establish and manage a risk management framework to safeguard the organization from potential threats across various domains including legal, operational, financial, and reputational.
  • Administer grant funding procedures, encompassing applications, approvals, and compliance checks.
  • Facilitate audits, promptly address audit findings, and escalate issues as necessary.

Human Resources:
  • Act as the primary contact for employees, efficiently managing internal and external HR inquiries.
  • Build relationships with staff at all levels, providing comprehensive HR support through various communication methods.
  • Oversee the complete recruitment cycle, from job postings to onboarding, contract issuance, and updates to HR systems.
  • Conduct effective orientation sessions for new employees and collaborate with departmental leaders to create suitable training plans.
  • Assist department heads in probation evaluations, absence management, disciplinary measures, contract modifications, and employee separations.
  • Promote organizational values, policies, and procedures, ensuring compliance with personnel expectations, safeguarding, health and safety standards, and well-being initiatives.
  • Stay informed about HR policies, trends, and best practices, providing recommendations for ongoing improvement and ensuring overall compliance.
  • Facilitate employee evaluations conducted by line managers, accurately documenting issues and aiding in their resolution.
  • Proactively identify opportunities for staff development and capacity enhancement through training and feedback mechanisms.

Additional Responsibilities:
  • Exhibit adherence to Muslim Hands values and ethics in all work-related activities.
  • Provide support for any additional tasks as required.
  • Fulfill reasonable responsibilities assigned by the Line Manager.
  • Promote and adhere to all Muslim Hands Policies, Procedures, and Professional Practices.

Qualifications and Skills:

Bachelor's degree in Business Administration, Human Resources, or a related field.

Demonstrated experience in governance, risk management, compliance, and human resources management.

Strong comprehension of statutory requirements, preferably within the nonprofit sector.

Exceptional communication, organizational, and interpersonal skills.

Ability to perform effectively under pressure and manage multiple priorities.

Proficiency in MS Office Suite and HR software applications.

Demonstrated commitment to ethical conduct and professional integrity.


Working Conditions: This position operates in a professional office environment. Some flexibility in working hours may be required to accommodate meetings and deadlines. Occasional travel may be necessary for board meetings, training sessions, or other organizational activities.
