The Senior Office Coordinator is responsible for a wide range of clerical duties and administrative support tasks for the designated department(s) to ensure smooth office operations.

CORE JOB FUNCTIONS

Assists department and/or leadership with daily administrative responsibilities. Gathers, reviews, and analyzes complex and/or sensitive information, preparing reports, charts, budgets, and other presentation materials. Addresses or directs non-routine, priority, or confidential inquiries from both external and internal sources through correspondence or other messaging on behalf of department leadership. Organizes meetings and takes comprehensive minutes as required. Responds to phone inquiries, providing information to callers or connecting them to the appropriate personnel. Manages appointment scheduling and calendar updates. Arranges travel logistics and reservations for department leadership and staff as necessary. Composes and types various correspondence, including informative materials; develops spreadsheets and presentations. Welcomes and provides general assistance to visitors. Complies with University and departmental policies and procedures while safeguarding University assets.

CORE QUALIFICATIONS

Education:

High school diploma or equivalent

Bachelor's degree preferred

Certification and Licensing:

Experience:

Minimum of 3 years of relevant experience

Knowledge, Skills and Attitudes:

General understanding of office procedures and operations Ability to accurately prepare and maintain records, files, reports, and correspondence Proficient in effective communication in both oral and written forms Capability to maintain positive interpersonal relationships Skill in processing and handling confidential information with discretion Attention to detail and accuracy in completing assignments Proficiency in computer software (i.e., Microsoft Office)

DEPARTMENT ADDENDUM

Department Specific Functions

Assist and facilitate the faculty recruitment process for SONHS. Coordinate job postings with the Manager of Academic Affairs. Aid in tracking applications for open faculty positions. Schedule interviews for the search committee and candidates. Assist with travel arrangements for faculty candidates visiting for interviews (i.e., booking hotel accommodations, flights, etc.). Update candidate statuses in Workday e-Recruiting and follow up with the committee as needed. Send correspondence to candidates according to e-Recruiting stages.
