The Senior Office Coordinator is responsible for a range of clerical tasks and administrative support activities to ensure the smooth functioning of the assigned department(s).

CORE JOB FUNCTIONS

Assists department leadership with daily administrative responsibilities. Gathers, reviews, and analyzes complex and/or confidential information, preparing reports, charts, budgets, and other presentation materials. Responds to or directs non-routine, priority, or confidential inquiries from both internal and external sources on behalf of department leadership. Organizes meetings and takes detailed minutes as required. Answers phone calls, providing information to callers or connecting them with the appropriate personnel. Manages appointment scheduling and calendar updates. Arranges travel and accommodations for department leadership and staff as necessary. Composes and types correspondence, including informative materials; develops spreadsheets and presentations. Welcomes and provides general assistance to visitors. Complies with University and departmental policies and procedures while safeguarding University assets.

CORE QUALIFICATIONS

Education:

High school diploma or equivalent required; Bachelor's degree preferred.

A minimum of 3 years of relevant experience is required.

  • General understanding of office procedures and operations
  • Ability to accurately prepare and maintain records, files, reports, and correspondence

DEPARTMENT ADDENDUM

Department Specific Functions

Facilitates the faculty recruitment process for the School of Nursing and Health Studies. Coordinates job postings with the Manager of Academic Affairs. Assists in tracking applications for open faculty positions. Schedules interviews for the search committee and candidates. Coordinates travel arrangements for faculty candidates visiting for interviews (including hotel bookings and flights). Updates candidate statuses in Workday e-Recruiting and follows up with the committee as necessary. Sends communications to candidates according to e-Recruiting stages.
