A non-profit organization in the NW Suburbs is looking to enhance its team with an Office Manager. This position will involve providing administrative support to the leadership team, managing overall office operations, and coordinating HR activities.

Key Responsibilities:

Office Operations Management

  • Oversee daily office functions, including administrative duties and maintenance of the office environment.
  • Coordinate office activities and processes to ensure operational efficiency and adherence to company policies.
  • Manage office budgets, expenses, and supplies, ensuring cost-effectiveness.
  • Maintain a safe and organized workplace, following health and safety regulations, while ensuring the office is well-stocked and orderly.
  • Handle facility service contracts and communication with landlords (HVAC, copier, water filter, etc.).

Executive Administrative Support

  • Organize and schedule meetings, appointments, and travel arrangements for the leadership team, including support for expense processing.
  • Provide presentation and meeting assistance (scheduling, room setup, reminders for content, printing materials, etc.) for various meetings.
  • Prepare gifts and materials for guests and supporters.
  • Monitor and manage incoming emails and disseminate information as necessary.
  • Serve as a backup for administrative roles in Finance, including tasks such as depositing checks and compliance administration.

Human Resources Coordination (10%)

  • Assist with recruitment and interview processes, including job postings, scheduling interviews, greeting candidates, and preparing materials for interviewers.
  • Support onboarding and offboarding processes for employees, including I-9 verification, background checks, and desk setup.
  • Enhance employee engagement by organizing events such as holiday parties and recognition celebrations, fostering a positive company culture.
  • Handle confidential information with professionalism and discretion.

Ideal Candidate Profile:

  • 3+ years of experience in office management or administrative roles.
  • Strong organizational and time management abilities.
  • Resourceful with a strong work ethic.
  • Proficient in technology and skilled in Microsoft Office (Word, Excel, Outlook, Teams, OneDrive, SharePoint), with experience in HR systems being a plus.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize effectively.
  • Strong problem-solving skills and attention to detail.
  • Experience with office equipment and management software.
  • Ability to work both independently and collaboratively in a dynamic environment.
