Position Overview:
The Administrative Coordinator provides essential support to the Executive Management team at EDC. This role demands meticulous attention to detail and a high degree of discretion regarding sensitive matters.

Successful candidates will exhibit flexibility, outstanding interpersonal abilities, project management experience, and the capacity to collaborate effectively with various levels of internal management and staff, as well as external clients and vendors.


Key Responsibilities:
- Serve as the primary organizer for the calendars and schedules of designated Executive Team members. May also provide support for other staff in the Executive Office as required.
- Collaborate with the VP of Special Projects and the Executive Assistant team to align on priorities and execute tasks accordingly.
- Engage in weekly calendar assessments.
- Manage telephone and email communications, ensuring timely and appropriate responses.
- Maintain and organize contacts for executives.
- Ensure executives are informed of schedule changes and remain punctual.
- Prepare briefing and presentation materials.
- Process expense reports for executives promptly.
- Arrange comprehensive travel logistics for executives and provide travel assistance for direct reports as necessary.
- Oversee the timely collection and return of documents requiring executive signatures.
- Distribute and manage executive mail on a daily basis.
- Track timekeeping for executives and direct reports as assigned.
- Undertake special projects and project coordination as directed.
- Office Support
- Collaborate with the Executive Assistant team, MIS, Records Management, and Administrative Services to enhance front office operations.

- Provide logistical support for meetings in the Executive Office, including booking conference rooms, setting up and breaking down spaces, managing audio-visual requirements, and catering requests.

- Coordinate with the Executive Assistant team to procure office supplies.
- Plan and organize events and projects related to the Executive Office as instructed (e.g., staff retreats, leadership meetings, commemorative events, etc.).
- Maintain awareness of key NYCEDC projects and initiatives to facilitate improved interdepartmental communication as outlined by the Executive Office.

Qualifications:
- High School Diploma or equivalent.
- Proficient in all Microsoft Office Suite applications.
- Minimum of 5 years of relevant experience.
- Demonstrated interest in enhancing innovation in administrative management and project coordination.
- Technologically adept.
- Availability to work evenings.
- Residence in New York City is required within a specified timeframe after hiring.
