Key Responsibilities:
  • Efficiently manage and oversee the business calendars of senior leadership.
  • Provide comprehensive administrative support for executives and their teams in a timely and professional manner.
  • Coordinate and arrange meetings, manage travel bookings, and organize conference/video calls, often involving multiple locations.
  • Handle logistics for all meetings, including IT support, room setup, and catering as necessary.
  • Utilize Microsoft Office Suite to assist with presentations and reporting.
  • Manage incoming calls, assist callers, take messages, and route as appropriate.
  • Support the daily operations of the teams.
  • Prepare and reconcile travel expenses and other financial reports.
  • Assist with written communications.
  • Organize team meetings and maintain existing files while creating new ones as needed.
  • Review and process invoices and expense reports promptly and accurately.
  • Order and maintain office supplies and perform other administrative duties as required.
  • Develop and sustain strong relationships with fellow Executive Coordinators, providing backup support when necessary.
  • Process and reconcile monthly procurement card statements.
  • Assist with project management and follow-up tasks.

Qualifications:
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong interpersonal skills demonstrating a high level of professionalism.
  • Excellent written and verbal communication abilities.
  • Capability to prioritize tasks and manage multiple responsibilities.
  • Possesses a sense of urgency and proactive approach.
  • Prior experience in task management.
  • Ability to maintain confidentiality, exercise good judgment, and demonstrate diplomacy.
  • Proficient in Microsoft Office, including Word, PowerPoint, and Excel, with the ability to create professional communications and reports.
  • Experience in drafting and formatting presentations in PowerPoint, along with foundational Excel skills to create charts, diagrams, and tables of data.
  • Bachelor's degree preferred.
  • A minimum of 8 years of experience supporting senior-level executives in a corporate environment.

Compensation:
Salary range: $72,500-$107,500
Overtime eligibility: Nonexempt
Discretionary bonus eligibility: Yes
Sales bonus eligibility: No
