Your Role...
The Senior Executive Administrator will deliver high-level administrative support to senior executives within the Global Marketing department.
Key Responsibilities...
- Manage executive calendars and coordinate group meetings, prioritizing critical issues and information to streamline decision-making processes. May exercise discretion in determining the priority of meeting requests to optimize schedules.
- Organize and facilitate meetings and conference calls as directed, including logistical arrangements such as room bookings, catering, and visitor access.
- Draft correspondence, presentations, and analytical reports, ensuring all necessary materials are prepared for both internal and external stakeholders.
- Oversee the operational coordination of the respective departments, ensuring smooth and efficient functioning.
- Facilitate the procurement process for technology and external staffing collaborations.
- Coordinate travel arrangements for executives, including detailed itinerary summaries, logistics, and scheduling of transportation, accommodations, and meetings. Ensure timely processing of expense reports post-travel and assist in training new hires on internal travel and expense processes.
- Manage departmental expenses associated with the corporate credit card and collaborate with relevant teams on office planning and facility management, including workstation setups and relocations.
- As part of the administrative team, provide coverage for front desk operations as needed.
- A minimum of 3 years of experience in providing executive administrative support.
- Ability to adapt to shifting priorities and deadlines.
- Strong interpersonal and organizational skills are essential.
