Role Overview:

The main responsibility of this position is to warmly welcome and assist visitors, residents, and callers, ensuring exceptional customer service at all times. Under the guidance of your supervisor, you will perform various administrative tasks efficiently and in line with established protocols.

Work Schedule:
Tuesday, Wednesday, Thursday 4-8 pm; Saturday 8-4 pm

Key Responsibilities:

Administrative Duties:
  1. Welcome visitors, residents, and vendors with professionalism and courtesy. Identify visitors and guide them to the appropriate areas. Record visitor information as per community guidelines.
  2. Answer incoming calls, assess the nature of inquiries, and direct callers to the relevant individual or department.
  3. Respond to internal requests; identify and locate the appropriate personnel.
  4. Maintain accurate resident information, including names, room numbers, and emergency contact details.
  5. Exercise discretion in sharing information to ensure confidentiality and privacy are upheld.
  6. Identify security issues and inform the supervisor or appropriate authorities. Clearly communicate facility policies to visitors, staff, and vendors.
  7. Assist with various administrative tasks, including typing, copying, filing, sorting mail, and ordering supplies.
  8. Ensure a clean and professional work environment.
  9. Document and address concerns or relay them to the appropriate staff members.
  10. Conduct small monetary transactions responsibly.
  11. Participate in training programs to meet state and federal requirements.
Required Skills and Qualifications:

Ability to make independent decisions, follow instructions, and accept constructive feedback. Must interact tactfully with personnel, residents, family members, and the general public. Ability to communicate effectively in English, both verbally and in writing.

Education and Experience:

High school diploma or GED preferred. Experience in a clerical role or completion of a secretarial science program from an accredited institution is preferred.

Licensing/Certifications:

No specific licensing or certifications required.
