Position Overview:

This role is classified as non-exempt and requires full-time commitment, encompassing 40 hours per week from Monday to Friday, operating between 8:00 a.m. and 5:00 p.m.

Key Responsibilities:

  • Manage and process all requests for transcripts and audio recordings related to Circuit Court proceedings through an online platform.
  • Ensure the preservation and organization of recording logs, audio files, CDs, printed transcripts, and legacy recording systems.
  • Maintain both manual and digital records, databases, and files, including PDF versions of transcripts generated by external vendors.
  • Prepare audio files of court sessions for external transcription services in a timely manner.
  • Facilitate the distribution of audio recordings to interested parties upon request.
  • Provide cost estimates for audio recording requests.
  • File printed or typed transcripts in the appropriate electronic case database for cases under appeal.
  • Oversee invoicing and payment processing for audio recording requests through the county's online system.
  • Seal audio records of court proceedings that are expunged by court order.
  • Stay updated on Maryland laws and regulations concerning transcript and audio recording procedures.
  • Develop and implement best practices for maintaining the official audio records of the court and ensuring compliance with applicable laws.
  • Draft and sign correspondence to requesting parties and external vendors, as well as communicate effectively with legal professionals and the public regarding procedures and timelines.
  • Compile and prepare statistical data for reporting purposes as required.
  • Perform additional related tasks as necessary.

Qualifications:

  • Associate's degree from an accredited community college or paralegal certification.
  • A minimum of two years of progressively responsible administrative experience, preferably in a legal or court environment.
  • Intermediate proficiency in Microsoft Office Suite.

Knowledge, Skills, and Abilities:

  • Familiarity with legal terminology.
  • Discretion and sound judgment in handling sensitive and confidential information.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Ability to maintain professional relationships with colleagues, government agencies, and the public.
  • Excellent verbal and written communication skills, including proficiency in grammar and composition.
  • Capability to manage and maintain both manual and digital filing systems.

Preferred Qualifications:

  • Experience in a law office or paralegal certification.
  • Prior experience with the Maryland Judiciary.
  • Familiarity with the Maryland Electronic Court/Odyssey system.
  • Advanced skills in Microsoft Office Word.

Physical Demands:

This position requires the employee to primarily sit and perform repetitive motions, with occasional walking and reaching. The role is predominantly indoor-based, and flexibility in working hours may be necessary.
