Position Summary
The individual in this position will oversee the operational goals related to events and membership, which includes the comprehensive planning, management, and execution of monthly gatherings and various programs throughout the year. Responsibilities also encompass the management of the Salesforce database, membership tracking, and updating online resources with relevant membership information. Proficiency in project management software will be utilized for effective organizational task management.

Key Responsibilities
- Assist in the organization of Club meetings, including scheduling, venue assessments, material preparation, vendor coordination, attendance tracking, and ensuring seamless event execution.
- Collaborate with the Director to identify and prepare speakers for events.
- Manage essential administrative functions for the Civic Committee and Club, including maintaining member databases and processing financial transactions.
- Prepare and distribute communications, invitations, and surveys, ensuring professional formatting.
- Support the creation of the annual Membership Directory, ensuring accuracy and adherence to timelines.
- Contribute to the development of new programs and events that resonate with Club members.
- Enhance financial processes through Salesforce, tracking costs and managing invoices.
Committee Support
- Assist with Board of Directors and Committee meetings, including scheduling, material preparation, and documentation of meeting outcomes.
- Monitor and follow up on membership proposals and meeting attendance.
Additional Responsibilities
- Coordinate with IT and external vendors to ensure technology needs for events are met.
- Maintain and update the organization's website and member portal.
- Manage inventory of printed materials and maintain internal calendars.
- Participate in regular meetings with the Director of Membership & Events.
Qualifications
- Bachelor's degree.
- 4-5 years of experience in event planning within a corporate or nonprofit context.
- Familiarity with Salesforce is preferred, including the ability to update and analyze reports.
- Strong writing and communication skills, with the ability to produce accurate documents independently.
- Exceptional organizational skills and attention to detail.
