Position Overview

The role of the Assistant Director of Membership and Events is pivotal in achieving the operational goals related to membership and event management. This includes the comprehensive planning, execution, and oversight of various programs and monthly gatherings throughout the year. The individual will also manage the Salesforce database, ensuring accurate membership tracking and updating relevant information on the organization’s website.

Key Responsibilities

  • Assist in organizing Club meetings, including venue selection, material preparation, vendor coordination, and attendance tracking.
  • Collaborate with the Director to secure and prepare speakers for events.
  • Oversee administrative tasks for the Civic Committee, including maintaining member databases and processing financial transactions.
  • Draft and distribute communications such as emails, invitations, and surveys.
  • Support the production of the annual Membership Directory, ensuring accuracy and adherence to timelines.
  • Contribute to the development of new programs and events that resonate with members.
  • Utilize Salesforce to streamline financial operations and track meeting costs.

Committee Support

  • Assist with Board and Committee meetings, including scheduling and documentation.
  • Monitor the status of new member proposals and track attendance.

Additional Duties

  • Coordinate with IT and external vendors for event technology setup.
  • Maintain and update the organization’s website and assist members with portal issues.
  • Manage inventory of printed materials and maintain internal calendars.
  • Participate in regular meetings with the Director of Membership & Events.

Qualifications

  • Bachelor's degree required.
  • 4-5 years of experience in event planning within a corporate or nonprofit environment preferred.
  • Familiarity with Salesforce is advantageous.
  • Exceptional organizational skills and attention to detail are essential.
