Position Overview

The individual in this position will oversee the operational aspects of the Civic Committee's events and membership functions. This includes the planning, development, management, and execution of monthly meetings and various programs throughout the year. Responsibilities also encompass managing the Salesforce database, tracking membership, and updating online resources with relevant membership information. Proficiency in project management software will be utilized for effective organizational task management.

Key Responsibilities

  • Assist in organizing Club meetings, including scheduling, venue selection, material preparation, vendor coordination, attendance tracking, and ensuring seamless event execution.
  • Collaborate with the Director to identify, secure, and prepare speakers for events.
  • Manage essential administrative functions, including maintaining member records and processing invoices for dues and guest fees.
  • Prepare and distribute Club communications, including emails, invitations, surveys, and notices.
  • Support the production of the annual Membership Directory, ensuring accuracy and adherence to timelines.
  • Contribute to the development and planning of new programs and events that resonate with members.
  • Track expenses for monthly meetings and manage invoice processing as necessary.

Committee Support

  • Assist with Board of Directors, Membership, and Program Committees, including scheduling, material preparation, and post-meeting documentation.
  • Monitor and follow up on proposals for new members.
  • Keep track of meeting attendance.

Additional Responsibilities

  • Coordinate with IT and external vendors to set up technology for meetings and events.
  • Maintain and update the Civic Committee's website.
  • Assist members with any website-related issues.
  • Manage the supply of printed materials.
  • Maintain internal calendars and attend regular update meetings with the Director.

Qualifications

  • Bachelor's degree required.
  • 4-5 years of experience in event planning within a corporate, nonprofit, or association setting preferred.
  • Familiarity with Salesforce is advantageous, including the ability to update records and generate reports.
  • Strong written and verbal communication skills.
  • Exceptional organizational skills and attention to detail.
