Position Overview
The role of the Office Administrator encompasses a variety of administrative responsibilities essential for the effective communication and financial management within the distribution center. This position will also involve performing additional administrative or human resources tasks as directed by the management team.
Key Responsibilities
- Welcome and assist visitors, vendors, and guests at the site.
- Monitor and replenish office supplies as necessary.
- Organize and distribute incoming mail/packages appropriately.
- Prepare and send outgoing mail/packages.
- Generate and issue customer invoices.
- Handle vendor invoices and prepare them for payment processing.
- Create financial and production reports as required.
- Assist in preparing for and participating in program audits and site communication tasks.
- Manage and track purchase orders for the facility, completing necessary reports.
- Ensure that all Certificates of Insurance from current and prospective vendors comply with Kenco standards and are up to date.
- Compile and update daily reports for site leadership.
- Perform data entry for various order processing systems.
- Organize employee events and coordinate meetings as requested by management.
- Update various metric and communication boards regularly.
- May also undertake HR-related duties such as onboarding and managing timekeeping and attendance.
- Cross-train in other roles to provide backup support when necessary.
- Complete miscellaneous tasks and projects as assigned by management.
Qualifications
- High School Diploma or GED is required.
- A minimum of two years of clerical experience is preferred.
- Proficiency in MS Office applications, including Word, Excel, Outlook, and PowerPoint, along with data entry and typing skills.
- Strong verbal and written communication skills; capable of effectively presenting information to groups of customers or employees.
- Detail-oriented with a focus on data accuracy.
- Able to read and interpret documents such as safety guidelines and operational instructions.
