  • Capable of addressing and resolving unforeseen challenges while adapting to changes in a dynamic environment.
  • Demonstrated expertise in Outlook, Excel, Word, and internet applications.
  • Strong verbal and written communication skills, excellent organizational abilities, and the capacity to collaborate effectively with onsite personnel, clients, supervisors, corporate associates, and vendors.
  • Fluency in English is required; bilingual candidates are highly encouraged to apply.
  • Adept at understanding legal documents and executing related rent collection and lease management tasks.
  • Intermediate math skills necessary for financial record-keeping, budgeting, and fiscal reporting.
  • Comprehensive understanding of property operations, emphasizing lease agreements and contract enforcement, including collections.

General Responsibilities:

  • Support and assist in all facets of community operations, reporting to and acting under the guidance of the Community Manager.

Preferred Education and Experience:

  • At least one (1) year of experience as an on-site Leasing Consultant or Assistant Manager in multi-family housing, hospitality, or a related field.
  • A high school diploma or equivalent is required; a college degree, CAM, or ARM certification is preferred.

Supervisory Duties:

  • The Assistant Manager aids the Community Manager and assists in overseeing all community staff.

Core Responsibilities:

  • Residential Standards
    1. Record all financial transactions and manage electronic payment bookkeeping.
    2. Input new move-ins, move-outs, lease renewals, and rentable items into the management system.
    3. Manage delinquency by sending notifications and coordinating eviction processes as necessary.
    4. Assist in leasing and marketing efforts, including engaging with prospective residents, gathering information, scheduling appointments, showcasing apartments, generating quotes, and facilitating rental applications.
    5. Prepare documentation for new and renewal lease agreements.
    6. Advise the Community Manager on rental rate adjustments or concessions to enhance rental activity.
    7. Compile security deposit disposition reports and any additional reports requested by the Community Manager.
    8. Conduct month-end accounting reporting.
    9. Review resident files and financial records to identify outstanding balances, communicate with residents regarding dues, and implement collection procedures.
    10. Organize community resident events, prepare newsletters, and maintain resident loyalty and retention initiatives.
    11. Identify opportunities for improvement and propose strategies to enhance community efficiency, productivity, and profitability.
    12. Perform any other tasks as assigned by the Community Manager.
  • Community Inspections and Quality Assurance
    1. Prepare welcome gifts for new residents and ensure readiness of apartments prior to move-in; conduct final inspections and confirm completion of service requests.
    2. Conduct competitive market research monthly to ensure alignment of rental rates and concessions with market conditions.
    3. Inspect community facilities and common areas daily to ensure they meet established standards.
    4. Participate in maintaining community appearance by promptly addressing litter and other cleanliness issues.
  • Financial Performance
    1. Collect, record, and deposit rents and other community income daily.
    2. Assist the Community Manager in achieving budgeted occupancy, collections, and expense targets.

Work Schedule: Typical hours are based on community needs and may include weekends and after-hours emergency services. Full-time position: 5 days per week, averaging 40 hours.

Physical Requirements: Light physical activity (occasional lifting up to 25 pounds) - includes climbing stairs, bending, kneeling, reaching, and handling various tasks.

Drug Screening: Pre-employment, post-injury, reasonable suspicion, and potential random screenings.
