Job Description

Position Overview

A Community Engagement Coordinator is tasked with managing the operations of a community association.

This role involves interaction with various stakeholders, including homeowners, service providers, board members, and committee participants, while also collaborating with personnel at the Associa Client Shared Service Center (CSSC) and within the branch office.

The position is based at the Principal Management Group Richardson office, with a salary range of $50k to $60k, contingent upon experience in HOA management.

Key Responsibilities
Essential duties include:
  • Overseeing the administration and operation of the Association in accordance with management agreements and the Association's regulations.
  • Serving as the main point of contact for the Association Board of Directors and homeowners.
  • Managing administrative and operational tasks as directed by the Board of Directors.
  • Ensuring effective development and use of Associa community management resources.
  • Analyzing monthly financial statements and providing summaries to the Association Board of Directors.
  • Offering recommendations to the Association Board of Directors regarding significant capital investments.
  • Monitoring delinquency rates and the collections process.
  • Participating in Board meetings and community gatherings.
  • Preparing Board documentation within designated time frames.
  • Keeping the Board of Directors updated on legal matters.
  • Maintaining unit and contract records related to the Association's operations.
  • Assisting with architectural review processes and routine inspections.
  • Managing the C3 database and updating resident records.
  • Overseeing vendors and coordinating with Associa staff.
  • Organizing building facility inspections and follow-up actions.
  • Managing the accounts payable process in accordance with Associa home office protocols.
  • Performing other assigned responsibilities.

Qualifications

Knowledge and Skills
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, etc.).
  • Understanding of community dynamics, property management, real estate, and homeowners associations.
  • Familiarity with the roles of the association board and the Community Association Manager.
  • Strong understanding of business communication and conflict resolution strategies.
  • Excellent communication skills and customer service orientation.
  • Self-motivated, proactive, detail-oriented, and a team player.
  • Effective time management and prioritization abilities.
