Job Summary

We are seeking a highly skilled and experienced Senior Administrative Assistant to provide complex and diverse administrative support to the director of philanthropic initiatives, senior director of development, and individual giving officer in the Office of External Relations at the Massachusetts Institute of Technology.

Key Responsibilities
  • Manage competing calendars and initiate intricate administrative tasks, including booking domestic and international travel, processing detailed expense reports, and distributing meeting briefs and agendas.
  • Edit meeting reports and donor lists, and work on ad hoc projects and events.
  • Provide exceptional administrative support to senior leadership, including preparing correspondence, reports, and presentations.
  • Develop and maintain databases and spreadsheets to track donor information and other relevant data.
  • Collaborate with other departments to ensure seamless execution of events and projects.
Requirements
  • High school diploma or equivalent required; five years' administrative experience preferred.
  • Excellent time management skills, ability to anticipate and manage tight deadlines, and sound judgment with confidential information.
  • Excellent interpersonal and written and oral communication skills, with ability to interact effectively with multiple constituencies.
  • Meticulous attention to detail and proficiency with Microsoft Office, Adobe, and database software.
  • Ability to work independently with minimal supervision and as part of a team.
Preferred Qualifications
  • Bachelor's degree in a related field.
  • Experience in development, particularly in higher education.
  • Familiarity with AdvanceWeb from Ellucian.
  • Interest in higher education and diversity.
