Position Overview

This role is pivotal in ensuring the seamless functioning of the Executive Office by delivering high-level administrative assistance to the President and CEO. The position encompasses a blend of operational support, governance engagement, and project management, requiring a proactive approach to streamline workflows and manage stakeholder relationships.

Key Responsibilities

  • Facilitate the CEO's interactions with prominent external stakeholders, including leaders of member organizations and the Board of Directors.
  • Organize and coordinate internal and external meetings, prepare briefing documents, and manage the CEO's schedule, including travel arrangements and budget oversight.
  • Oversee all logistical aspects of Board meetings, from venue selection to catering, ensuring all materials are prepared and minutes are accurately recorded.
  • Assist in the onboarding and offboarding of Board members, including managing recognition awards and updating orientation materials.
  • Collaborate with the Executive Team to maintain and track performance metrics related to the Strategic Plan.
  • Draft and refine communications, including correspondence and talking points, in partnership with the CEO and Executive Team.
  • Support the CEO's fundraising initiatives and outreach efforts to potential donors.
  • Manage special projects and undertake additional responsibilities as directed by the CEO.

Qualifications and Skills Required:

  • A bachelor's degree or an equivalent combination of education and experience.
  • A minimum of three years of experience in supporting senior management or executive-level personnel.
  • Exceptional project management, organizational, and communication skills, with a strong attention to detail.
  • Experience working with boards of directors and a solid understanding of governance practices.
  • Strong customer service skills and the ability to handle sensitive situations with professionalism and discretion.
  • Ability to work effectively both independently and as part of a team.
  • Proficiency in Microsoft Office Suite, particularly Word, Outlook, Teams, and PowerPoint.

Preferred Qualifications:

  • Experience in international policy, development, or public administration.
  • Prior involvement with NGOs or governmental bodies focused on foreign affairs and policy.
