I. JOB OVERVIEW
Position Summary: The George Washington University School of Medicine and Health Sciences (SMHS) is in search of an Executive Administrative Coordinator for the Office of the Dean, Academic and Student Affairs. This role is essential in providing comprehensive administrative assistance to the Associate Dean of Student Affairs and other senior personnel in managing fiscal responsibilities, office operations, and human resource functions.

This pivotal administrative role delivers advanced support to one or more executives. Responsibilities include maintaining and reconciling purchasing cards for departmental accounts, coordinating schedules, and managing calendars for assigned staff, while prioritizing and organizing meetings, conferences, and appointments. The coordinator will proactively prepare necessary background materials and liaise with management to ensure that office administration policies and activities align with their requirements.

Additionally, this position involves planning, prioritizing, and overseeing maintenance and upgrades to facilities and equipment to minimize disruptions to business operations. The role also encompasses the hiring, training, and supervision of temporary and summer staff, as well as overseeing customer service initiatives at the front desk, including addressing inquiries and resolving issues as needed.

A significant aspect of this position includes managing pre-clinical student events and collaborating with student committees. Responsibilities also extend to registrar and record-keeping tasks.

Key Responsibilities:
  • Organize meetings and prepare minutes
  • Procure office supplies and equipment
  • Disseminate policies and procedures related to student affairs
  • Facilitate purchases related to student affairs using university procurement cards
  • Coordinate travel arrangements; prepare event pre-authorization forms, travel reimbursements, and payment requests as necessary
  • Engage with vendors and manage procurement and invoicing
  • Assist with purchases for student class and student government accounts
  • Provide administrative support for senior-level social functions and other hosted events
  • Act as the primary administrative liaison between the Office of Student Affairs and various internal and external stakeholders to disseminate information, foster cooperation, and implement initiatives
  • Collaborate with staff from different offices, including Facilities Management and IT, to ensure smooth operations and effective management of daily incidents
  • Support faculty, deans, and staff in coordinating preclinical academic calendars and intersession curricular events
  • Perform additional duties as assigned by senior leaders of the Office of Student Affairs.

Work Environment:
This position operates in a Hybrid work setting, defined as job functions that can be effectively performed in both on-campus and remote locations. Employees may have dedicated or shared workspace available on campus and possess the flexibility to determine the most effective way to perform their work as needed. A telecommuting agreement will be implemented.

Minimum Qualifications:
Qualified candidates will possess a Bachelor's degree in a relevant field. The degree must be conferred by the start date of the position. Equivalent combinations of education, training, and experience may be considered.

Preferred Qualifications:
  • Bachelor's degree or higher
  • Two years of experience in an administrative role preferred but not mandatory
  • Strong interpersonal and teamwork abilities
  • Proficient in computer skills with in-depth knowledge of MS Office Suite
  • Prior experience in event management, curricular affairs, student affairs, budgeting, invoicing, and maintaining accurate records
  • Experience supporting executive calendars and managing various projects/events
  • Exceptional communication skills, both verbal and written

Compensation: Hiring Range: $34.04 per hour.
