About Generation Hope:
Generation Hope is a nonprofit organization dedicated to empowering student parents by providing them with the resources necessary for academic and economic success. Our mission is to engage educational and policy partners to foster systemic change while offering direct support to teen parents pursuing higher education and their children through comprehensive, two-generation programming. We have successfully allocated over $1.3 million in tuition assistance, supported nearly 500 teen parents, and celebrated the achievement of almost 200 degrees through our initiatives.
Role Summary:
The Executive Coordinator is integral to our operations, collaborating closely with the Chief Operating Officer (COO) to streamline administrative and business functions. This role involves managing communications with both internal and external stakeholders, prioritizing requests, and ensuring the COO is well-prepared for meetings and events. Additionally, you will oversee travel arrangements, expense management, and special projects as needed.
Key Responsibilities:Executive Administrative Support (70%):
- Serve as the primary liaison for the COO, coordinating activities and communications with various stakeholders.
- Manage the COO's calendar, scheduling appointments and ensuring all logistics are handled efficiently.
- Keep the COO informed of upcoming commitments and prepare necessary materials for meetings.
- Foster strong relationships within Generation Hope and with external partners to facilitate smooth communication.
- Provide administrative support during COO-led meetings, including minute-taking and managing technology needs.
- Handle expense reports and notify the COO of any issues that arise, suggesting solutions when appropriate.
- Develop systems to enhance the COO's productivity and organizational efficiency.
- Coordinate travel plans for the COO, creating detailed itineraries.
Executive Coordination (30%):
- Maintain regular communication with the COO's direct reports to align on goals and priorities.
- Collaborate with the Executive Manager of the CEO to ensure seamless scheduling and activity coordination.
- Manage competing priorities effectively, ensuring timely follow-up on requests and projects.
- Prepare presentations and reports with a keen eye for detail and accuracy.
- Support the COO's participation in board committees by coordinating materials and communication.
- Assist with special projects and staff engagement activities as directed.
- Demonstrated integrity, credibility, and a commitment to the mission of Generation Hope.
- A Bachelor’s degree or equivalent experience, with a minimum of five years in an administrative role supporting executive-level staff.
- Proven ability to exercise discretion and maintain confidentiality.
- Strong organizational skills and the ability to thrive in a fast-paced environment.
- Excellent communication skills, both written and verbal, with a diplomatic approach.
- Proficiency in MS Office Suite; familiarity with G Workspace and design tools is a plus.
- A commitment to diversity and inclusion, with a desire to address systemic and institutional inequities.
Travel Requirements:
- This position may require travel for meetings and events, including occasional overnight trips.
Work Environment:
Generation Hope operates on a hybrid model, combining remote and in-office work.
