We are seeking a Senior Administrative Coordinator to assist our Chief People Officer (CPO) and our Vice President of Business Operations. In this hybrid position, you will thrive in a dynamic, creative environment alongside dedicated team members focused on quality and execution. Your role will involve partnering and managing a variety of executive and team initiatives within the People and Places and Business Operations divisions. This position allows for remote work on select days while requiring in-office presence on others.

Key Responsibilities:
  • Oversee the calendars of the CPO and VP of Business Operations, managing, prioritizing, and responding to meeting requests in a fast-paced, dynamic setting.
  • Ensure that leaders are well-prepared with necessary information for upcoming meetings, collaborating closely to optimize their time and assist in delegating involvement in specific projects.
  • Coordinate travel, meetings, and events, including creating agendas and itineraries, booking transportation, and arranging accommodations.
  • Prepare expense reports and manage credit card reconciliations.
  • Plan and execute off-site meetings, collaborating with internal stakeholders while managing and tracking expenses.
  • Communicate effectively across all levels on behalf of the CPO and VP of Business Operations.
  • Make independent decisions and take action with minimal guidance.
  • Participate in meetings with leaders to stay informed about team requirements.
  • Contribute to a collaborative Executive Administrative team, assisting colleagues with team projects and coverage as needed.
Qualifications:
  • 5+ years of experience as an executive assistant, ideally within a midsized to large SaaS or networking security firm.
  • Proven experience in program management, including planning and timeline management.
  • Strong cultural alignment and work ethic—enthusiastic team player with sound judgment and integrity.
  • Proficiency in Outlook calendar and Microsoft Office Suite, with experience in scheduling, organizing meetings, travel arrangements, and expense reporting.
  • Adept at managing priorities and projects in a high-volume, fast-paced environment.
  • Exceptional verbal and written communication skills, with the ability to create professional presentations and engage effectively with others.
  • Capable of navigating ambiguity and demonstrating flexibility, patience, and open-mindedness.
  • Ability to maintain composure and a sense of humor in high-pressure situations.
  • Discretion in handling confidential matters.
  • Bachelor's degree or equivalent professional experience.
