Position Overview:
Kiewit's Northern California District is a leading entity in the infrastructure sector, focusing on a variety of projects within the heavy civil, transportation, and water resource markets. Our operations primarily target Northern California, while also engaging in various projects across the western region.

Location:
This role will be situated at our project office in Santa Clara, CA, with occasional visits to project sites as necessary.


Responsibilities:
1. Manage schedules, travel logistics, and expense reports efficiently.
2. Ensure timely and accurate completion of all expense documentation.
3. Welcome visitors, organize meetings, and manage conference room bookings, including catering arrangements.
4. Coordinate travel plans, preparing comprehensive travel packets (itineraries, maps, and meeting notes).
5. Research and evaluate local accommodations for potential meeting venues, providing recommendations.
6. Handle outgoing correspondence, including emails and faxes.

7. Offer logistical support for Kiewit-sponsored events, which includes securing meeting locations, negotiating hotel contracts, and arranging catering services.

8. Provide general office support, including taking meeting minutes, covering reception duties, and coordinating team-building activities.
9. Assist in the creation of presentation materials.
10. Undertake additional tasks as assigned.

Qualifications:
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Visio, and SharePoint.

- High school diploma with a minimum of 3 years of relevant executive-level support experience, ideally in engineering, construction, or infrastructure sectors.

- Preferred candidates will have over 2 years of experience managing travel and expenses using SAP Concur.
- Must demonstrate a positive, proactive attitude and be a strong team player, capable of maintaining confidentiality.
- A commitment to continuous improvement and operational efficiency is essential.
- Experience in organizing meetings within a dynamic environment is highly valued.

- Effective and professional communication skills for interaction with supervisors, colleagues, and external parties.
- Commitment to safe and effective work practices, following both oral and written instructions, including safety protocols.
- Flexibility to work during standard hours and overtime as needed, with the possibility of varying locations and conditions.

Base Compensation:
$36/hour - $44/hour

(Compensation may vary based on education, experience, skillset, and location)
