Job Description

Job Summary:

Rubin and Rudman LLP is seeking a highly motivated and organized Trusts and Estates Administrative Assistant to provide administrative support to the Trusts and Estates Department. The ideal candidate will have excellent communication and organizational skills, with the ability to work effectively in a fast-paced environment.

Key Responsibilities:

  • Administrative Support: Provide administrative support to the Trusts and Estates Department, including typing correspondence, memoranda, and other legal documents with a high degree of accuracy.
  • File Management: Maintain files, both electronic and physical, photocopying, reading and sorting mail, preparing and updating estate planning binders, coordinating scheduling, and other duties as needed.
  • Financial Management: Input attorney timesheets, process, proof, and review bills and invoices.
  • Client Interaction: Interact with clients, financial advisors, investment advisors, accountants, attorneys, and other staff; schedule and proactively prepare files and documents for meetings.
  • Estate Planning: Prepare final estate planning letters, which include copies of executed estate planning documents and recommendations for various asset transfers related to trust funding strategy, including investment accounts, real estate, life insurance, and retirement assets.

Requirements:

  • Education: Knowledge of financial and legal management principles, typically acquired through completion of a Bachelor's degree or equivalent experience.
  • Experience: A minimum of two years of experience as a Legal Assistant.
  • Skills: Ability to demonstrate impeccable integrity in personal and fiduciary matters, interpersonal skills necessary to communicate with a diverse group of attorneys, staff, and clients, and provide information and customer service with courtesy and tact.
  • Technical Skills: Experience using Microsoft Word, Excel, Outlook, and knowledge of Visio and PowerPoint is preferred. Experience using a Document Management System and Billing Software is also preferred.
  • Personal Qualities: Organization and attention to detail, verbal and written communication skills, and the ability to work effectively in a team environment.
