Legal Assistant for Trusts and Estates

Legal Executive Assistant for Trusts and Estates plays a crucial role in providing comprehensive administrative support while acting as a vital partner to attorneys in managing their practices. This position is perfect for a proactive individual who can maintain confidentiality and work effectively both independently and as part of a team.
KEY RESPONSIBILITIES:
- Act as a primary support to attorneys in the administration of their Private Client practices, fostering a thorough understanding of their operations and clientele.
- Facilitate the flow of information to efficiently organize, prioritize, and address requests from internal and external clients until completion.
- Assist attorneys proactively with their practice management and administrative duties, including scheduling, conflict assessments, and communications.
- Oversee and manage attorneys' schedules and diaries for accurate time-keeping.
- Prepare, format, proofread, and edit legal documents, ensuring precision in all details.
- Support time entry and the preparation of client invoices, ensuring timely submission and delivery.
- Coordinate logistics and services for meetings, events, signings, and other engagements.
- Manage travel arrangements for meetings and conferences outside the local area.
- Handle reimbursements, reconcile expenses, and submit financial documents.
- Build and maintain positive relationships with firm members and external vendors.
- Ensure all correspondence and legal documents are accurately filed and organized.
- Facilitate communication among partners, associates, paralegals, and other staff members.
QUALIFICATIONS:
- BA/BS degree is preferred but not mandatory.
- A minimum of 7 years of experience in administrative, legal, or executive assistant roles is required.
- Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel is essential.
