Legal Executive Assistant for Trusts and Estates plays a crucial role in providing comprehensive administrative support while acting as a vital partner to attorneys in managing their practices. This position is perfect for a proactive individual who can maintain confidentiality and work effectively both independently and as part of a team.

KEY RESPONSIBILITIES:

  • Act as a primary support to attorneys in the administration of their Private Client practices, fostering a thorough understanding of their operations and clientele.
  • Facilitate the flow of information to efficiently organize, prioritize, and address requests from internal and external clients until completion.
  • Assist attorneys proactively with their practice management and administrative duties, including scheduling, conflict assessments, and communications.
  • Oversee and manage attorneys' schedules and diaries for accurate time-keeping.
  • Prepare, format, proofread, and edit legal documents, ensuring precision in all details.
  • Support time entry and the preparation of client invoices, ensuring timely submission and delivery.
  • Coordinate logistics and services for meetings, events, signings, and other engagements.
  • Manage travel arrangements for meetings and conferences outside the local area.
  • Handle reimbursements, reconcile expenses, and submit financial documents.
  • Build and maintain positive relationships with firm members and external vendors.
  • Ensure all correspondence and legal documents are accurately filed and organized.
  • Facilitate communication among partners, associates, paralegals, and other staff members.

QUALIFICATIONS:

  • BA/BS degree is preferred but not mandatory.
  • A minimum of 7 years of experience in administrative, legal, or executive assistant roles is required.
  • Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel is essential.
