Job Summary

We are seeking a highly organized and detail-oriented Human Resources Assistant to join our team at the Los Angeles Conservation Corps. As a key member of our HR department, you will provide administrative support to our staff and assist with various HR-related tasks.

Key Responsibilities
  • Administrative Support
    • Provide daily mail pick-up and distribution of all mail and prepare outgoing mail, including FedEx and UPS.
    • Offer front office assistance as needed, including directing visitors, routing phone calls, and assisting with the copier, supply pickups, and deliveries.
    • Assist the Chief Administrative Officer and Human Resources Team with special projects as needed.
    • Maintain inventory of office supplies in a neat and orderly fashion and may order special items as requested.
    • Provide general administrative support, including preparing correspondence, forms, and reports, arranging meetings, composing regular correspondence, processing confidential reports and documents, filing electronic and hard copy documents, and tracking deadlines as needed.
  • Human Resources Support
    • Assist with applicant management and tracking, providing support to applicants surrounding the Applicant Tracking System in the Corps' Payroll software, Paycom.
    • Utilize effective communication and follow-through while acting as a dependable point of contact for candidates, serving as a point person throughout the application process to provide a great candidate experience.
    • Ensure new Corpsmember personnel files and eligibility documents are accurate and fully completed prior to submitting these documents and/or files to Human Resources, Payroll, Corpsmember Development, and assigned Conservation/Work Programs and the Corps' charter school partner, the LA Education Corps.
    • Maintain confidentiality around sensitive and confidential matters, such as employee relations and organizational changes, protecting the security of information, data, and files.
    • Assist with logistics and coordination for Recruitment programs, including scheduling workshops, booking rooms, printing and preparing all materials, sending communications to participants, and setting up conference rooms.
    • Assist with community events, job fairs, and meetings in the community to promote the Corps and recruit new participants, which may involve working Saturdays or Sundays as needed.
    • Assist in recruitment of potential applicants based on experience, skills, and education.
    • Assist with interviews and intake of potential Corpsmembers.
    • Assist in preliminary interviews of potential candidates for entry-level positions.
    • Maintain I-9 documentation for all new hires.
  • Orientation and On-Boarding
    • Coordinate and facilitate the post-offer process and new hire sessions for employees and Corpsmembers.
    • Schedule and coordinate with outside vendors in preparation for Corpsmember on-boarding.
    • Extend offers and assign checklists to new hires via Paycom.
    • Gather and enter new hire/enrollment information in the Corps' payroll system.
  • Staff Support
    • Attend and provide staff support for team and committee meetings.
    • Assist and coordinate volunteer and staff training events or programs and recommend training resources for staff as needed.
    • Assist the Director of Administration, Human Resources Manager, and other Team members as needed.
    • Perform other duties as assigned.

Education and Experience

High School Diploma or GED (from an accredited institution); Associate or Bachelor's degree preferred AND A minimum of one (1) year of related experience in human resources.
