Key Responsibilities
Employee Engagement Support - 70%

  • Provide comprehensive administrative support to the department, including managing communications, processing mail, and maintaining office supplies.
  • Assist staff with inquiries regarding institutional policies, procedures, and benefits.
  • Oversee the maintenance of internal and external web content for the Employee Experience department.
  • Manage confidential employee records and ensure proper handling of sensitive information.
  • Coordinate calendars and logistics for meetings, interviews, and events.
  • Support event planning efforts, including logistics for audiovisual needs, catering, and venue arrangements.
  • Prepare and manage vendor contracts in compliance with institutional guidelines.
  • Conduct employment verifications and reference checks for prospective candidates.
  • Assist with unemployment claims and related research.
  • Prepare financial documentation, including expense reports and budgetary materials.
Student Employment Management - 25%
  • Facilitate the processing of student employment documentation and provide guidance on job requirements.
  • Ensure compliance with student hiring policies and assist departments in understanding these guidelines.
  • Represent the Employee Experience team during student orientation sessions.
Additional Responsibilities - 5%
  • Participate in college-wide committees and task forces as needed.
  • Undertake other duties as assigned by management.
Qualifications
  • 1-2 years of experience in an administrative or customer service role.
  • High school diploma or equivalent; HR certification is a plus.
  • Strong customer service orientation with excellent communication skills.
  • Ability to work effectively in a diverse and multicultural environment.
  • Proficient in Microsoft Office Suite and adaptable to new software.
  • Commitment to fostering diversity, equity, inclusion, and belonging in the workplace.
  • Strong organizational skills and attention to detail.
Preferred Qualifications
  • Bachelor's degree in Human Resources or a related field.
  • Experience in a higher education setting.
  • Familiarity with labor and employment laws.
Work Environment
This position is primarily office-based, requiring regular interaction with staff and students. The role may involve occasional physical demands such as lifting light to moderate weights and prolonged periods of computer use.
