Role Summary

Under the supervision of the Human Resources Manager, the Human Resources Assistant plays a crucial role in supporting the organization’s mission by executing responsibilities with utmost integrity and respect. Confidentiality is paramount in this role. The position entails a variety of administrative and clerical support tasks for the administrative team.

Key Responsibilities

Administrative Duties
  • Manage daily mail operations, including pick-up, distribution, and preparation of outgoing mail (FedEx, UPS).
  • Provide front office support, directing visitors, routing calls, and assisting with office supplies and equipment.
  • Support the Chief Administrative Officer and Human Resources Team with various projects as required.
  • Maintain an organized inventory of office supplies and place orders for special items as needed.
  • Deliver general administrative assistance, including preparing correspondence, arranging meetings, and managing confidential documents.
Human Resources Support
  • Assist in managing applicant tracking and provide guidance to candidates regarding the Applicant Tracking System within the Corps' Payroll software.
  • Act as a reliable point of contact for candidates throughout the application process, ensuring a positive experience.
  • Verify that new Corpsmember personnel files and eligibility documents are complete and accurate before submission to relevant departments.
  • Uphold confidentiality regarding sensitive employee matters and organizational changes.
  • Coordinate logistics for recruitment events, including scheduling workshops and preparing materials.
  • Support community outreach efforts, including job fairs and events to promote the Corps and attract new participants.
  • Assist in the recruitment process by evaluating potential candidates based on their qualifications.
  • Facilitate preliminary interviews for entry-level positions.
  • Maintain I-9 documentation for all new hires.
Onboarding Coordination
  • Oversee the post-offer process and new hire orientation sessions.
  • Coordinate with external vendors for onboarding preparations.
  • Manage the issuance of offers and the assignment of checklists to new hires via the payroll system.
  • Input new hire information into the Corps' payroll system.
Team Support
  • Attend and provide support for team meetings and committees.
  • Assist in organizing training events for staff and recommend training resources.
  • Support the Director of Administration, Human Resources Manager, and other team members as needed.
  • Perform additional duties as assigned.

Education and Experience

High School Diploma or GED; Associate or Bachelor's degree preferred, along with a minimum of one year of relevant experience in human resources.

Additional Requirements
  • COVID-19 vaccination required.
  • Successful completion of a post-offer drug/alcohol screening.
  • Background check clearance required.
  • Valid California Class C Driver's License if using a personal vehicle for company purposes.
  • Reference checks will be conducted.
Compensation and Benefits
  • Hourly rate: $22.29 - $27.44, based on experience and education.
  • This part-time role includes vacation and sick leave.
