POSITION OVERVIEW:
This role offers vital administrative assistance within the Office of EEO/AA, primarily supporting the Chief of EEO/AA.

KEY RESPONSIBILITIES:
  • Conduct administrative duties for the Chief of EEO/AA, including research and drafting of correspondence and reports.
  • Efficiently manage the Chief's dynamic calendar, demonstrating a clear understanding of changing and ongoing priorities.
  • Oversee incoming correspondence, evaluating materials to ascertain the necessity for the Chief's attention, and coordinating responses and actions. Draft letters and memos, and manage correspondence on behalf of the Chief. Maintain an organized electronic filing system for correspondence.
  • Organize and oversee business travel arrangements for staff, including the reconciliation of travel expense reports.
  • Collaborate with internal support teams on referrals, reports, projects, and information requests.
  • Facilitate logistical support for special projects and initiatives as required.
  • Administer bi-weekly timecard approvals for the Office of EEO/AA personnel.

EDUCATION & EXPERIENCE:
  • A Bachelor's degree in Business Administration or a related field, accompanied by three (3) years of progressively responsible office administration experience, particularly in executive office settings. One (1) year of relevant experience may be substituted for each year of required education.

SKILLS & COMPETENCIES:
  • Exceptional verbal and written communication skills are essential.
  • Additional competencies include: being deadline-driven; the ability to multitask, prioritize, and organize effectively; maintaining discretion with confidential information; and a collaborative team spirit.
  • Proficient knowledge of Outlook, Oracle, Kronos, and P-Card usage is preferred.
  • Experience with external agencies is also advantageous.
  • Flexibility in working hours is required.
